Why More Compliance Reminders Make Your Company Less Safe

1. The Mailbox Problem

Most Indian companies do not miss statutory deadlines because nobody told them. They miss them because the telling was so constant that it stopped registering. A calendar reminder for the EPF ECR on the 15th arrives alongside reminders for ESIC, Professional Tax, Labour Welfare Fund and a dozen licence dates, all in the same format, all to the same group of people. By the second week of the month, they are noise.

2. Why Volume Backfires

Three things happen when reminders multiply.

Everything looks equally urgent. A muster roll formatting reminder and a factory licence expiry arrive in the same shade of red. People triage by effort, not by consequence, and the licence loses.

Nobody owns the message. An alert sent to a department is an alert sent to nobody in particular. Each recipient assumes a colleague has it.

Silence has no consequence. If ignoring a reminder changes nothing, ignoring it becomes the rational choice. The late EPF payment still attracts interest and damages, but by then the reminder system has already failed.

3. Three Changes That Work

Tier by consequence. Give high-consequence items (licences, contractor liability, repeat filing defaults) an early, distinct and widening alert path. Let low-consequence items stay quiet until close to the date.

Name a person at each step. The first alert goes to the maker. The second goes to the checker. If those are ignored, the third goes to the manager. Each step changes the audience, not just the colour.

Make silence trigger the next step. If a task has not moved by a set point, the system, not a colleague's memory, moves it up. That is the difference between an alert and an escalation.

4. What to Ask Your Tool or Your Team

  • If I ignore this alert, what happens, and when?
  • Who receives the final alert for a licence renewal, and is it the same person as the first one?
  • What happens to this obligation when its owner is on leave?
  • How many alerts did we send last month, and how many led to action?

The last question is the most revealing. Companies that count the ratio often find that most alerts never changed anything. If you are choosing or replacing software, the Iztty guide to compliance risk management software sets out the alert, scoring and escalation features worth testing.
